The Dutch Tax Refund Window Explained

Working on projects in the Netherlands often means your tax situation changes during the year. Different jobs, changing hours or gaps between projects can all affect how much tax is deducted from your salary. Many technical workers are surprised to find they are actually owed money. Knowing when and how to check can turn tax season into a celebration.

Each year, there is a fixed period when you can submit your Dutch income tax return. This window runs from March until May. If you miss it, you cannot submit your return later and must wait until the next year. That is why it is important to act early. Most communication from the Belastingdienst is digital or sent by post, so your Dutch address and mailbox access must be correct.

Completing the tax return form

Once you are registered in the Netherlands and have DigiD – a secure, mandatory online identification system for Dutch residents – the online tax return can be fairly straightforward. Submitting the form usually takes less time than people expect!

You may find that your personal and income information is already filled in, so your main job is to carefully check the details and confirm they are correct.  Before you start, it’s a good idea to collect your annual income statement from your employer, your IBAN bank account number, and any details about other income or insurance. When working for InAxtion check the bottom of your payslips in your Helloflex portal

Not yet got a DigiD? No problem. You can apply for a digital ID through the government website here.

Please note: It’s important to collect your DigiD code from a municipal building, or it will be posted to the address where you first registered for a BSN (burgerservicenummer) your unique, mandatory citizen service number used by the Dutch authorities, employers, and healthcare providers

Seeking external tax advice

For temporary workers, tax refunds are very common. If your income changes during the year, the tax system may deduct too much tax. Workers who start or finish mid-year or who take time off between projects often qualify for a refund. Even if you are unsure, checking your tax return is always worthwhile.

InAxtion consultants can explain the basic steps and what you need to prepare, but they are not tax experts. Many employees choose to work with an independent tax advisor. A specialist can look at your personal situation and help ensure everything is done correctly. This can be especially helpful if you worked irregular hours or had periods without work.

Tax claim window and consequences

You can still submit returns for previous years, up to five years back, but each year has its own deadline. Missing the annual filing window means waiting another year for that refund.

After submitting, a decision usually follows within several weeks and any refund is paid directly to your bank account. Many workers use it to treat themselves, travel home or invest in their future

If you are unsure where to start, contact your InAxtion consultant. They can give general guidance and help you understand your next steps. You can also find out more in our blog about income tax in the Netherlands.
